Registration Terms

By registering for the CAMPhA-USA Annual Convention, each attendee agrees to the following terms and conditions.

Registration Payment

All convention registration fees must be paid in full before attendance unless otherwise approved in writing by CAMPhA-USA. Registration is not considered confirmed until payment has been successfully received and processed.

Registration fees may include access to convention sessions, continuing education activities, selected meals, networking events, and other convention-related activities as outlined in the registration package selected. Items not specifically listed as included may require a separate ticket, fee, or RSVP.

Promotional Discounts & Coupon Codes

Promotional discounts, early-bird offers, leadership appreciation codes, and other coupon codes are valid only during the stated promotional period. Discounts cannot be applied retroactively after registration has been completed.

Coupon codes have no cash value and may not be transferred, combined with other offers, or exchanged for cash unless expressly approved by CAMPhA-USA.

Substitutions & Transfers

If a registered attendee is unable to attend, they may request to transfer their registration to another eligible attendee. Transfer requests must be submitted in writing by September 25, 2026.

CAMPhA-USA reserves the right to approve substitutions based on registration category, membership status, payment differences, and event capacity. If the substitute attendee falls into a higher-priced registration category, the price difference must be paid before the transfer is finalized.

Continuing Education Disclaimer

CAMPhA-USA will make every effort to provide approved continuing education programming as advertised. CE credit is subject to attendee participation, completion of required evaluations, sign-in/sign-out procedures, and compliance with accrediting body requirements.

CAMPhA-USA is not responsible for CE credit not awarded due to attendee failure to meet participation, documentation, evaluation, or deadline requirements.

Hotel & Travel Disclaimer

Convention registration does not include hotel accommodations, airfare, ground transportation, or other travel-related expenses unless specifically stated. Hotel reservations are made directly between the attendee and the hotel.

CAMPhA-USA is not responsible for hotel cancellation penalties, room availability, travel delays, or personal travel arrangements.

Photography, Video & Media Release

By attending the CAMPhA-USA Annual Convention, attendees acknowledge that photographs, video, audio recordings, and/or digital images may be captured during convention activities.

Attendees grant CAMPhA-USA permission to use such media for organizational, educational, promotional, archival, and social media purposes without additional notice or compensation.

Code of Conduct

All attendees are expected to conduct themselves professionally and respectfully. CAMPhA-USA reserves the right to remove any attendee from the convention without refund for disruptive, unsafe, harassing, discriminatory, or unprofessional behavior.

Agreement to Terms: By completing registration, the attendee confirms that they have read, understood, and agreed to CAMPhA-USA’s registration terms, refund policy, and event policies.

Refund & Cancellation Policy

All cancellation and refund requests must be submitted in writing to finance@campha-usa.org. Refunds are processed according to the schedule below.

No refunds will be provided for no-shows, late arrivals, early departures, unused meals, missed sessions, missed continuing education credits, or failure to attend any portion of the convention. Approved refunds may be processed after the conclusion of the convention and returned to the original method of payment.

 

Gala, Meal & Special Event Tickets

Gala tickets, meal tickets, special event tickets, sponsorship-related tickets, and add-on purchases may be non-refundable after final catering guarantees are submitted to the venue.

CAMPhA-USA cannot guarantee meal accommodations, seating, or special requests submitted after published deadlines.

 

Program Changes

CAMPhA-USA reserves the right to modify the convention schedule, speakers, session topics, room assignments, meal functions, or event format as necessary. Such changes do not automatically qualify a registrant for a refund.

 

Event Cancellation & Force Majeure

If CAMPhA-USA cancels the convention in full, registrants will be notified regarding refund or credit options.

In the event of circumstances beyond CAMPhA-USA’s reasonable control — including severe weather, natural disasters, public health emergencies, government restrictions, labor disruptions, venue emergencies, or other force majeure events — CAMPhA-USA reserves the right to reschedule, modify, postpone, or cancel portions of the convention.

CAMPhA-USA is not responsible for travel expenses, hotel costs, airline fees, lost wages, childcare costs, or any other personal expenses incurred by attendees in the event of cancellation or postponement.
